Terms of use

These terms cover using AutoArchive to create an account, record vehicle and document history, and (where applicable) subscribe to a paid plan. Plain English is used throughout; nothing here is a substitute for your own legal advice.
Publication blocker
The intended contracting entity is AUTOARCHIVE LTD, a private company limited by shares, subject to incorporation and official name availability. Company number: pending. Registered office: pending. Registered in England and Wales. The proposed fleet liability cap below also remains subject to solicitor review.
What AutoArchive is
AutoArchive is a record-keeping tool for vehicle documents and history: personal vehicles, and for fleet workspaces, vehicles shared with your team. It stores documents you upload, MOT history sourced from DVSA, and information you enter yourself (such as tax and service dates). It is not a mechanic, a valuer, a legal adviser or a DVLA service, and does not verify tax status.
Your account
You must be at least 18 to hold an account. Access for people aged 16 or 17 is not offered at initial launch and is deferred pending a Children's Code assessment. The initial paid launch is intended for customers in the United Kingdom. Personal plans are for consumers; fleet plans are for business or professional use only.
You are responsible for the accuracy of information you enter, for keeping your sign-in details secure, and for the vehicles and documents you add. Workspace admins are responsible for who they invite and what role they grant.
Automated extraction and accuracy
AutoArchive uses automated AI extraction to read values from uploaded documents. This is assistive, not authoritative: values are shown with a confidence indicator, and you should check and correct them before relying on them. See AI disclosure.
MOT and DVLA data
MOT history is retrieved from the DVSA MOT History API and shown as DVSA holds it. AutoArchive does not edit, verify or guarantee the accuracy of DVSA data, and does not provide a live DVLA tax-status lookup — any tax information you see that is not sourced from DVSA is information you entered yourself and is labelled as such.
AutoArchive assists with record keeping. You remain responsible for checking official MOT and tax information, meeting your legal obligations, and retaining original documents where appropriate.

Billing and subscriptions
Paid plans, where offered, are billed and managed through Stripe. Card payments are currently processed in Stripe's test mode only — no live charges are taken while this is the case, and this page will be updated when live billing goes ahead.
When recurring billing launches, customers may cancel through the billing portal and access will continue until the paid period ends. Personal customers may request a full refund when cancelling their first paid subscription within 14 days. A 14-day goodwill refund window will apply after an annual renewal. Outside those periods, routine pro-rated refunds will not be offered except where required by law or agreed because of a service failure. Personal customers retain all statutory consumer protections.

We plan to email a reminder before annual renewals. Please keep your contact email up to date; the reminder does not replace your ability to cancel in Manage billing.
Publication blocker
Live checkout does not yet display every required cancellation and refund disclosure, and the refund promises above do not yet have an operational workflow. Before live payment, checkout must clearly show the price, billing interval, automatic renewal, cancellation method and consumer cancellation/refund rights.
Changing or cancelling your plan
You can change or cancel your plan at any time on Plan and usage. Upgrades start straight away: we charge the difference for the rest of your current period, less a credit for the part you have not used. Downgrades, including moving from yearly to monthly billing, start at the end of the period you have paid for, with no refund or extra charge. If you cancel, you keep your plan until the end of that period and can resume before then. We never delete your records because of a plan change: anything over your new plan's limits stays viewable and exportable, but read-only, and you choose which vehicles stay active. This does not affect the refund rights on our refunds page.
Our standard of service
We will provide the service with reasonable care and skill. We do not promise uninterrupted availability, flawless document extraction or guaranteed reminder delivery. Nothing in these terms excludes or limits liability for fraud, death or personal injury caused by negligence, statutory consumer rights, or any liability that cannot lawfully be excluded.
For fleet plans only, the proposed liability cap is the greater of £500 or the fees paid for the relevant workspace during the preceding 12 months. This proposal is pending solicitor review and is not final.
Complaints
Email contact@autoarchive.uk. We will acknowledge a complaint within two business days, aim to resolve it within 14 days, and provide a final response within 30 days. We do not claim membership of an alternative dispute resolution scheme.
Governing law
These terms are governed by the law of England and Wales. UK consumers keep all mandatory rights, including rights concerning the courts where they live.
Tax
AUTOARCHIVE LTD will not initially be registered for VAT.
Suspension and termination
You can delete your account at any time from Settings. We may suspend or close an account that is used unlawfully, abusively, or in a way that risks the security or availability of the service for others.

Changes to these terms
We may update these terms as the product changes. Material changes will be reflected on this page with an updated date.
